Getting started
Invite colleagues, get help, optionally connect a phone number, and find settings. Read the transcript

Gravity Rail gives your team a place to build and run the experiences you want Members to have. Start by bringing your colleagues into the workspace, meeting the Workspace Manager, and setting up the channels your team uses.

The film above walks through those first steps. Follow along in a demonstration workspace, or use the sections below to find the right starting point for your team.

Before you begin​

You need a workspace and a role that allows you to manage its settings and invite colleagues. Registering a phone number also requires an organization administrator. Use synthetic records while learning. Before working with patient information, read Using Gravity Rail with PHI.

Key concepts​

Members include your colleagues and the people your team serves. Their roles determine what they can access. The Workspace Manager, shown as Manager AI in the sidebar, helps you explore and configure the workspace through a Chat. A Workflow holds the instructions an Agent follows during an experience.

Quick setup​

Invite your colleagues​

  1. Open the workspace menu and choose Invite members.
  2. Enter your colleague's email address.
  3. Choose the role that matches their responsibilities, then send the invitation. The film selects Manager for a colleague who will help run the workspace; other colleagues may need less access.

An invitation gives someone workspace access; adding a Member record serves a different purpose. See Managing Members for the difference and Member roles before choosing access.

Meet the Workspace Manager​

Open Manager AI in the sidebar and ask a question about your workspace. The film uses a prepared demonstration workspace to find Members whose insurance information is missing and offers to save the result as a Member filter.

Try that example with synthetic records if your demonstration workspace has the same Form fields. Otherwise, ask the Manager to help you find a workspace setting. Read its answer and review any proposed change before acting on it. See Using the Manager for the next lesson.

Connect a phone number, if you need one​

  1. From the dashboard, open Connections, then Phone.
  2. Choose New Phone Number → Register a new number.
  3. Search by area code, choose a number, and review its monthly price before confirming registration.
  4. If you plan to send text messages, open Compliance and complete your business information. Registration alone does not complete messaging approval.

You can leave this step for later if your team does not use calls or texts. Setting up phone numbers covers connecting a Workflow and handling calls outside business hours.

Set your timezone and business hours​

Open Settings in the sidebar. In General, check the workspace timezone. In Business Hours, set the days and times your team is available to take calls and escalations. Check that the hours match your team's local timezone.

Check your setup​

Confirm that the invitation has been prepared or sent to the intended colleague, that you can open Manager AI, and that your timezone and working hours are correct. If you registered a number, confirm that it appears in Connections. You now have a starting point for learning how your team's experiences fit together.

What to build first​

When your first setup is ready, open Build in the lesson sidebar. Start with Files and Forms, then create and test a Workflow.
