Automating Actions
Review triggers and their configured behavior. Read the transcript
Review an Action's trigger and response, then check its run history. Use the reference below to see which Actions the selected event can trigger.
Before you start
- You need access to Actions. To create, change, enable, or delete rules, your role needs
automations:admin. - The walkthrough uses a synthetic Send Notification Action that is disabled. It does not send a notification.
Inspect a disabled Action
- Open Actions from the workspace sidebar.
- Select an event in the left column to see its Actions.
- Open the disabled Send Notification Action and review its trigger and response.
- Open Runs. In the walkthrough, the list is empty because the Action has no executions.
Keep the example disabled while you review it. A disabled Action does not run. Existing Actions can also be opened from their event row; use the row's menu to enable, disable, or delete an Action. Deleting asks you to confirm.
To configure a new rule, select Add action beside an event to start with that event, or use New Action to choose the source and event yourself. Choose an Action, complete its settings, and save. Add a condition or delay if needed. Action conditions use CEL; the Developer CEL reference lists variables and functions by event context. The Actions editor shows only options compatible with the selected event and your workspace configuration. Phone Call needs an available workspace phone number.
When events fire
The event names below are the trigger contexts used by the Actions system. A source's available events depend on the source you selected.
| Trigger group | Event | Fires when |
|---|---|---|
| Task | Execute (task:execute) | A Task executes its configured Actions. |
| Strict Workflow Task | Enter, Command, Exit (task:enter, task:command, task:exit) | In a strict Workflow, a Task is entered, its configured command is invoked, or it routes after commands. These phases are supported by the runtime but are not offered in the regular event picker. |
| Workspace / Member | Member Joined, Member Left, Updated | A Member joins or leaves the Workspace, or their profile is updated. |
| Form Record | Created, Updated, Changed | A Form record is created, updated, or either of those changes occurs. |
| Chat | Created, Chat Summary, Message | A Chat is created; its summary is saved; or a member or Agent message is persisted. Message fires for persisted messages on any channel, including paused or human-handled Chats. |
| Workflow | Workflow starts, Member Message, Assistant Message | A Workflow starts (including one without Tasks); a member sends a message on its Chat; or the Agent sends a message. Member Message runs before the Agent reply; reply-authoring Actions require an Agent turn. |
| Tracked link | Link Clicked | A tracked link is clicked for a Member. Configure a destination or Workflow filter; only the first click per Member and link fires. |
| Calendar | Event Created, Event Updated, Event Cancelled, Event Starting, Event Ended, Event No-Show | A calendar appointment is created, changed, cancelled, about to start, ended, or marked as a no-show. Select a Calendar or a Calendar Event Type as the source. |
| Routine | Triggered | A Routine fires. |
| Journey | Step Execute, Member Enrolled, Journey Completed | A Journey step runs its Actions, a Member is enrolled, or a Member completes the Journey. |
| Call | Call Started, Call Completed, Call Summary | A phone call starts, completes, or has its summary saved. |
| Voicemail | Received | A voicemail's transcription finishes, whether it completed or failed. |
| Fax | Received | An inbound fax is stored and its file is available. |
Actions and their trigger contexts
The table groups Actions that share the same supported trigger set. Read the trigger codes in the next table to see the exact events in each set. The selected event and your workspace's connected services determine which options the editor displays.

| Send Assistant Message, Pause Chat, Play Audio Clip | A |
| Conclude Assignment | B |
| Create Chat, Send Email, Update Form Field, Update Member Labels, Send Notification, Refresh from Monday.com, Phone Call, Send SMS, Send WhatsApp Message, Enroll in Journey | C |
| Upsert Monday.com Item, Connection Sync, Send Webhook | D |
| Switch Assignment Task | E |
| CEL Record Mutation | F |
| Copy Fields Into Session Record, Upsert Assignment-Linked Record | G |

| Set | Supported trigger events |
|---|---|
| A | Task events; Chat Created, Chat Summary, Message; Workflow starts, Member Message, Assistant Message; all Calendar events; Call Started, Call Completed, Call Summary. In the regular editor, Send Assistant Message, Pause Chat, and Play Audio Clip are hidden for Call Completed and Call Summary. |

| G | Strict Workflow Task Enter and Command. |
| H | Strict Workflow Task Command. |
| I | Message; Workflow Member Message and Assistant Message. |
The event picker and runtime restrict Actions to compatible events. Strict Workflow Task phases are not in the regular picker. Create Chat and Connection Sync are not selectable in the generic rule builder; Create Chat remains available through supported API or app-connection configuration, while connection-managed rules are configured from their connection. Monday.com Actions appear only when Monday.com is enabled and connected. Workspace-specific Send Charleston PMD Page is available on Task Enter and Command; PatientSync Transfer is available on Task Command when its workspace feature is enabled.
Confirm the result
The Action detail shows the selected event and response settings. Runs shows execution history for the selected Action; an empty list means no runs are recorded. A disabled Action remains visible for review and does not execute.
